As part of our continued platform enhancements, we’re introducing a new feature that changes how past-due accounts are managed. This update is designed to help streamline account management while reducing service interruptions.

When an account becomes past due:

✅ It will be automatically disabled until payment is received.

✅ Users can still log in and pay their invoice directly—no need to contact agency admins or Vacation Creations support.

✅ A bar notification will appear at login for users whose access has been disabled due to nonpayment.

✅ All data remains safe and is fully restored as soon as the invoice is paid.

 

For Agencies Using Individual Billing

If your agency allows agents to pay their own subscription fees:
• Only the individual account with the unpaid invoice will be disabled.
• We strongly recommend notifying your team about this update to avoid any unexpected disruptions.

Payment Notification Banner

As soon as an invoice is created, a yellow banner will appear at the top of the VC Dashboard screen to let users know a balance is due. This banner will display for 15 days leading up to the invoice due date, giving plenty of time to review and pay.

Here’s a breakdown of how it works:
15 to 6 days before due date: A yellow banner appears with a reminder to pay.
5 days before the due date: The banner begins a daily countdown (5, 4, 3, 2, 1 days left).
AFTER the due date, users will be limited to accessing only the Invoices module until payment is completed. (You’ll be able to click on the link “Go to Invoices” as seen in the screenshot below to make the payment) Once the payment is made the account is instantly reactivated.

Note: Users will still have full access on their due date, but must pay by the end of that day to avoid limited access starting the next day.

For agency owners managing payments for agents:
• You’ll see a banner that lets you know your agency invoice is available, and if any agent-level users have outstanding balances, you’ll be alerted to remind them.

For agencies where agents pay individually:
• You’ll see a banner when your agency invoice is available.
• If your agents pay their own invoices, you will not receive a banner alert about their payment status. However, you can still view which agents are paid or unpaid by navigating to Settings > Invoices.

The banners include a direct link to Settings > Invoices for quick and easy payment access. If an account is not paid by the due date, it will be automatically disabled until payment is received.
