Heads-Up: If Your Client Uses Outlook/Hotmail… Please Read
We wanted to share an important update about a known email delivery issue impacting Microsoft email accounts. Right now, some reservation-related emails sent to Microsoft-hosted addresses may not be reaching recipients. This can include email providers such as:
- MSN
- Live.com
- Hotmail
- Outlook
- and some company/work addresses that use Microsoft (Microsoft 365 / Exchange).
The good news: Gmail, Yahoo, and most other providers appear to be delivering normally.
Also, this issue does not seem to be affecting marketing emails – those are sending as expected.
What’s going on?
This is an industry-wide Microsoft filtering/delivery problem, and it’s unfortunately outside of Vacation Creations’ direct control. We know how frustrating this is (especially when you’re trying to take great care of your travelers), and we’re keeping a close eye on it as Microsoft works through it on their side.
While we can’t force delivery to Microsoft addresses, we can help you quickly identify who didn’t receive an email and get it back in front of them.
Here are a few options that are working for many users:
* Check which email address your client is using
* If the only email on file is Microsoft-based, delivery may be hit-or-miss right now.
* Resend the reservation email to an alternate address
* If your client has a Gmail or non-Microsoft email, updating the email and resending often solves it immediately.
* Use an alternate communication method when needed (text, DM, etc)
If the only email your client shared is Microsoft-based, you may need to send key details via text, phone call, or another messaging method until this clears up.

How to resend a form directly to the customer from your personal email.
Once a form has been sent to a customer and they did not receive it, the user can go to the customer or reservation and click on forms. Scroll to the bottom section titled, ‘Sent Forms’. On each form, the system provides a link that can be copied/pasted into your personal email to your customer. Just click the gray ‘Copy Link’ button to get that link.
How to find client email addresses (so you can spot Microsoft emails)
Export your customer list (includes email addresses)
- Go to Customers → Customer List
- Click the three dots in the upper-right corner
- Select Export
- An Excel spreadsheet will download with your customers (including email addresses)
Important note about access:
- Agent-level users will only export their customers.
- Admin-level users will export the entire agency customer list.
- To narrow it down, admins should filter Column S (labeled Agent Name) to their own name.
How to see which reservation emails are scheduled to send (today + upcoming)
Use the “Automated Email Tracking” widget
- Go to Dashboards → Agent Dashboard
- Look for the widget called Automated Email Tracking
- If you don’t see it:
- Click Manage Widgets (red button)
- Toggle Automated Email Tracking ON in the right-side panel
- Click Save
This widget shows the reservation emails that are scheduled to send today and in the coming days (including deposit due reminders and other important automated reservation emails).
What to do with this info
Use the customer export (email addresses) + the Automated Email Tracking widget (scheduled emails) to cross-reference any clients with Microsoft email addresses (Outlook/Hotmail/Live/etc.) so you can proactively reach them another way if needed.
